Create and send an invoice

An invoice is the bill you send a customer after the work. Create it, approve it, then send it. Sending issues the invoice and creates the payment link, and there is no create-link-only step.

You need Standard Invoicing. Payment links also need a gateway. See Invoicing.

Create

  1. Click Invoicing, then + New Invoice. An empty list can say Add Invoice.
  2. Pick a Customer, then a Location. Hauls stay hidden until you pick a location.
  3. Fill Create Invoice. Sections include Recurring, Customer Data, Billing Information, Invoice Date, Payment Terms, and Line Items. Invoice Date shows Will be set when sent.
  4. Click + Add Line Items, then Add haul. Add fees from the same panel if you need them.
  5. Click Done, then Save & Create. The invoice saves as Draft. Save & Create does not email the customer.
  6. Click Approve.

From a haul: open Hauls, use the Not Billed dropdown, click Create Invoice.

Send

  1. Open the approved invoice.
  2. Click Send via Email or Send via SMS.
  3. For email, fill Send Invoice Email: Invoice Date, Due Date, To, CC, Subject, and Email Body. Leave {{PaymentLink}}  in the body.
  4. Click Send Email.

The status becomes Sent. View Payment Details shows the QR code, Payment Page URL, Open, and Expires. Send Email and Resend Email also open Send Invoice Email.

If payment fails or the link expires, see Payment failed or pay link expired.
